BIONIKO is a leading company in the field of ophthalmic surgical simulation, and we are currently seeking an Administrative Sales Assistant for our Miami Lakes, FL location. The Administrative Sales Assistant will be responsible for providing professional assistance with documentation, coordination, and support for sales and post-sales activities. This will include tasks such as creating and maintaining deals, customer profiles, and sales pipeline activities in our CRM system, scheduling follow-ups and trainings, and any other relevant activities to advance deals.

To succeed in this role, you should possess excellent interpersonal skills and fluency in oral communication, with bilingual proficiency being a plus. The Administrative Sales Assistant will serve as a primary point of contact for customers through email and phone, and will support managers at every stage of the sales pipeline, from quotation to shipping, invoicing, and post-sale support.

Working closely with our Production and Shipping counterparts, the Administrative Sales Assistant will ensure timely fulfillment of orders and maintain a high level of customer satisfaction. This is a fast-paced, dynamic position in a growing medical education company that is focused on helping patients by training healthcare professionals.

I. JOB TITLE: Administrative/Sales Assistant

II. LOCATION: Miami Lakes, FL

III. FUNCTIONAL AREA: Sales

IV. SALARY: $24/ hr

V. SCHEDULE: Full time (8hr, M-F)

VI. DUTIES AND RESPONSIBILITIES

  • Update, review, and monitor the customer and deal database in the CRM software.
  • Enter new customer information, notes, and upload documents to deals.
  • Assist with tasks to document and move deals through all stages of the sales pipeline.
  • Process and fulfill orders by working with accounting software to generate deal-related documents and updating orders in the CRM software.
  • File sales-related documents and maintain supporting databases or spreadsheets.
  • Communicate with customers to send deal-related documents and provide updates on orders.
  • Respond to incoming phone calls and emails from clients and suppliers.
  • Schedule appointments and update calendars using Outlook and CRM software.
  • Provide general administrative support to sales managers.
  • Facilitate customer orders and requests.
  • Assist with coordinating tradeshow logistics.
  • Schedule and send follow-up emails to customers and prospects within the CRM

X. QUALIFICATIONS

A. EDUCATION

  • Bachelor’s degree preferred

B. REQUIRED EXPERIENCE

  • Administrative assistant experience (3 years Required). Experience in a manufacturing setting a plus.
  • Microsoft Office suite (3 years Required)
  • Experience working with a CRM software.
  • Experience with Quickbooks or other accounting software a plus.
  • Experience in customer service a plus.

LANGUAGE AND OTHER SKILLS

  • Fluent in English and Spanish
  • Excellent written and oral communication skills

XI. PHYSICAL DEMANDS
